Tender check: cleaning services bid for a municipal library network
Requirements checklist (excerpt)
| # | Requirement | Source | In your draft | Status |
|---|---|---|---|---|
| 1 | Cleaning schedule for all 6 branches, by day | Spec 3.2 | Schedule for 5 branches, Eastfield missing | Missing |
| 2 | Public liability insurance of at least 2,000,000 | Notice 6.1 | Certificate attached, 1,500,000 | Weak |
| 3 | Staff vetting procedure | Spec 5.4 | Section 4, one paragraph | Covered |
| 4 | Eco-certified products list | Spec 4.1 | Product names given, no certificates | Weak |
| 5 | Three references from similar contracts in the last 3 years | Notice 7.3 | Two references, one from 2021 | Missing |
| 6 | Signed pricing form, all lines filled | Notice 8.2 | Lines 14–16 empty | Missing |
Attachments and deadlines
- Clarification questions: by 3 November, 12:00, through the procurement portal only
- Bid submission: 14 November, 14:00; late bids are not opened (Notice 2.4)
- Required attachments: company registration, insurance certificate, pricing form (signed), method statement, 3 references, health and safety policy
- Format: single PDF, max 25 MB, pricing form also as Excel
Scoring criteria
| Criterion | Weight | Your strongest evidence |
|---|---|---|
| Price | 40% | Complete only after lines 14–16 are filled |
| Quality of method statement | 30% | Clear daily routines, but no quality checks described |
| Staffing and continuity | 20% | Good: named supervisor and cover plan |
| Environmental approach | 10% | Needs product certificates to score |
Gaps and fixes
- Add the Eastfield branch to the schedule. It is the largest site (1,100 m²), so a missing schedule here is likely to cost points under "Quality".
- Raise insurance cover to 2,000,000 or ask your insurer for a cover note before 14 November. As it stands, this can make the bid non-compliant.
- Replace the 2021 reference with a current contract, and add a third one. The school cleaning job you mention on page 6 would fit.
- Describe quality checks: who inspects, how often, and what happens when a complaint comes in. Suggested wording: "The site supervisor carries out a documented walk-through of each branch weekly and responds to complaints within 4 working hours."
- Fill pricing lines 14–16 (window cleaning, deep clean, consumables) and sign the form.
Before you submit: confirm the deadline and any addenda on the procurement portal, as we work only from the documents you sent.

About this service
Research funders reject many proposals for reasons that have nothing to do with the science: a missing data management plan, a budget line that is not allowed, a CV over the page limit or aims that do not match the call's priorities. Send the call text, the funder's guidance and scoring criteria and your draft as PDF, Word or Excel files, and we list every eligibility rule, page and font limit, required section and attachment, then check your draft against each one. From Standard you see where reviewers are likely to find the significance, methods, impact or budget justification weak, with concrete fixes.
What is included
- What you getA Word report and an Excel checklist of eligibility rules, formatting limits, required sections and attachments, deadlines and scoring criteria, each with where it appears in the call, and from Standard the status of every item in your draft with fixes.

- Required sectionsAims, methods, impact, data plan, ethics
- Budget rulesAllowed costs and justification gaps
- Scoring criteriaHow reviewers will score each part

How it works
- 1DocumentsYou upload the call and guidance and your draft
- 2CheckWe list every requirement and test the draft
- 3ReportYou get the Word report and Excel checklist
What we need from you
The call for proposals, the funder's guidance for applicants and the scoring criteria, your draft from Standard, the budget table if you have one, the name of the funder and scheme, your role (PI or co-applicant) and the deadline. All files together hold about 150,000 characters.
We will ask you:
- Which funder and scheme are you applying to?
- What is your role and institution?
- When is the internal and the final deadline?
- Which parts of the proposal are drafted?

Questions and answers
Will you judge my research idea?
We check how the proposal answers the call and the criteria, and whether the case is clear to a reviewer. We do not judge whether your science is right; that is for you and your colleagues.
Will this make my proposal win?
We cannot promise funding. We help you meet every requirement and strengthen weak sections; the decision belongs to the funder's panel.
Can you check the funder's website for updates?
No, we work only from the documents you send. Confirm the latest guidance and deadlines on the funder's site yourself.
Will you submit it for me?
No. We do not submit anything or contact the organisers. You send the application yourself through their portal or by email.
