Summary by channel

Booking platforms14254%$10915%$93
Direct (phone, email, website)8738%$1260%$126
Local travel agent228%$10210%$92

Direct guests pay more, stay longer (3.4 nights vs 2.3) and bring $33 more per night after commission than platform guests.

Trends and outliers

  • July and August made 41% of revenue; occupancy reached 93%.
  • March and April were weakest (occupancy 38%), but weekend nights still sold at 79%: the gap is midweek.
  • Cancellations were 19% for platform bookings with free cancellation and 4% for direct bookings with a deposit.
  • Outlier: 6 bookings in May at $45 per night. These are all one corporate group with a manual discount; they were kept in totals but flagged.

Findings

  1. Your most profitable guests are direct, returning guests, yet only 14% of platform guests were invited to book direct next time.
  2. Midweek in spring is the only real gap; weekends sell themselves.
  3. Free cancellation on platforms costs about 27 lost nights over 9 months.

Recommendations

  1. Add a "book direct" card at check-out with a 10% returning-guest rate: still $20 above platform net.
  2. Create a midweek spring offer (3 nights for the price of 2, Sun–Thu) for March–April.
  3. Switch platform listings to a non-refundable rate at 8% off alongside the flexible one.
  4. Track the booking channel for every guest from now on: 17 rows had no channel and were grouped as "direct".

All totals were cross-checked against the monthly sums in your sheet; the difference is $0.

Client: a 12-room guesthouse by a lake, run by two owners Data: 284 booking rows, January to September (date, room type, nights, channel, price paid, cancellation) Question asked: "Which channel and which months actually make us money, and where are we losing it?"

The client and all details are made up.

About this service

Stock that sits for months freezes cash, while best sellers run out right before a busy week. We take your stock and sales export, calculate turnover and days of cover for each item, sort the range into fast, slow and dead stock and flag items you reorder too early or too late. You see where money is stuck on the shelf and what to reorder first.

What is included

  • What you getA report with turnover and days of cover per item, an ABC split of the range, a list of slow and dead stock with its value, and reorder suggestions. You get it on the order page and as a Word document, with the tables also as an Excel file (values only, no formulas or charts).
  • Turnover by itemHow many times stock sold through in the period
  • Days of coverHow long current stock will last at your sales pace
  • ABC splitWhich items bring most of the revenue
  • Dead stock listItems with no sales and the money tied up in them
  • Reorder notesWhat to buy sooner, later or not at all

What we need from you

A stock and sales export from your accounting or store system as an Excel, PDF or CSV file or pasted text, the period it covers, and purchase prices if you want values in money.

We will ask you:

  • Which period does the export cover?
  • How long does it take a supplier to deliver after you order?
  • Are there seasonal items in the range?
  • What do you want to decide with the report?

  • Fixed priceThe package price does not change after you pay.
  • The money is reservedWhen you pay, the amount is only reserved. It is released to the service once you accept the work.
  • Checked before deliveryEvery result goes through a quality check before it reaches you, and you see it on the order page before accepting it.
  • Free revisionsAsk for changes within your brief as many times as the package allows.
  • Acceptance after 3 daysIf within 3 days of delivery you neither accept the work nor ask for changes, it is accepted automatically. If you write in the order chat after delivery, the order waits; once we answer, we may start the 3 days again and will say so in the chat.

Questions and answers

My system exports stock and sales separately. Is that fine?

Yes. Attach both files and make sure item codes match, so we can join them.

What counts as dead stock?

By default, items with no sales in the last 90 days. Tell us if a different threshold suits your business.

Can you plan purchases for the next season?

We give reorder suggestions based on the sales in your export. A full purchase forecast is a separate service in our catalog.
