Year 1 totals: revenue $212,550, operating profit $37,188, cash at year end $36,988.

What the numbers say

  1. Months 1–2 are the tight spot. Cash drops to about $2,900 in month 2. Keep at least $3,000 in reserve or delay one hire until month 3.
  2. Summer carries the year. Months 5–9 bring about two-thirds of annual profit, so plan marketing and staff holidays around them.
  3. Price matters more than volume. Raising the average check by $0.50 lifts year 1 profit by about $16,900; selling 10% more cups adds about $15,000.
  4. Payback. At the current pace, the $38,000 start-up spend is covered in roughly 13 months.

All formulas are live in the Excel file: change any yellow cell on the Assumptions sheet and every month updates.

Client: Morning Dock, a coffee kiosk opening in March at a commuter ferry terminal. Owner's investment $25,000 plus a $20,000 equipment loan.

About this service

We draft a program budget the way funders read it: costs grouped into staff, activities, materials, travel and a share of overheads, with the number of people served and the cost per participant. Income is laid out by source, such as grants, donations, events and earned income, so you can see the funding gap month by month and which costs are already covered.

What is included

  • What you getBudget tables for your program: costs by category with a budget narrative line for each, income by source, funding gap, cost per participant and monthly cash flow, with assumptions listed. Tables come as text on the order page and as an Excel (.xlsx) file; this is a planning estimate, not financial, tax or investment advice.
  • Costs by categoryStaff, activities, materials, travel, overhead
  • Budget narrativeOne line explaining each cost
  • Income by sourceGrants, donations, events and fees
  • Funding gapWhat still needs to be raised
  • Cost per participantThe number funders often ask for

What we need from you

What the program does and for whom, how many people it will serve, staff and their time on the program, activity and material costs, overhead rate, confirmed and expected funding, and the funder's budget rules if you have them.

We will ask you:

  • What does the program do, and for how many people?
  • Which staff work on it, and for what share of their time?
  • What funding is confirmed and what are you applying for?
  • Does the funder have budget rules or a template?
