Year 1 totals: revenue $212,550, operating profit $37,188, cash at year end $36,988.

What the numbers say

  1. Months 1–2 are the tight spot. Cash drops to about $2,900 in month 2. Keep at least $3,000 in reserve or delay one hire until month 3.
  2. Summer carries the year. Months 5–9 bring about two-thirds of annual profit, so plan marketing and staff holidays around them.
  3. Price matters more than volume. Raising the average check by $0.50 lifts year 1 profit by about $16,900; selling 10% more cups adds about $15,000.
  4. Payback. At the current pace, the $38,000 start-up spend is covered in roughly 13 months.

All formulas are live in the Excel file: change any yellow cell on the Assumptions sheet and every month updates.

Client: Morning Dock, a coffee kiosk opening in March at a commuter ferry terminal. Owner's investment $25,000 plus a $20,000 equipment loan.

About this service

A daycare or kids' center lives on enrollment and staff ratios: each extra child brings fees, but every few children require another caregiver by law. We build the forecast from your capacity, age groups, ratios, monthly fees, registration fees and subsidies, against rent, wages, food, supplies and licensing costs. You see how many enrolled children you need to break even and how a slow first term or a summer dip affects cash.

What is included

  • What you getTables of enrollment, fees, staff, costs, profit and cash by month, with the break-even number of children and assumptions listed, as text and as an .xlsx file with values. This is a planning estimate, not financial, tax or investment advice.

What we need from you

Capacity and age groups, the staff-to-child ratios you must follow, fees and discounts, expected enrollment by month, rent, wages, food and set-up costs. A price list or budget can be attached as Excel, Word or PDF.

We will ask you:

  • Is it full-day care, drop-in or after-school classes?
  • How many children per caregiver must you keep?
  • What do parents pay?
  • Is it a new center or an existing one?

Questions and answers

Is this financial advice?

No. It is a planning estimate from your numbers. Check licensing rules and taxes with a local accountant before deciding.

Do you know the staff ratios for my country?

Rules differ by country and region and change over time, so we use the ratios you give us. Check them with your licensing office.

Can I use it for a bank or a grant?

It gives you the numbers and assumptions most applications ask for. The application text itself is not included.
