What was done

  • Duplicates: 61 groups found (by email: 48, by name + phone: 13); merged into one row each, keeping the most complete details and the earliest sign-up date. Spending was not summed, because the two rows showed the same amount; 4 groups with different amounts are flagged for you.
  • Names: split into first and last name; titles (Dr, Mrs, Mr) moved to their own column; capitalisation fixed, including O'Neil and McKenzie.
  • Phones: 571 numbers brought to +44 format; 22 numbers with too few digits flagged.
  • Emails: lower-cased and trimmed; 17 without a domain ending flagged as "Check email".
  • Dates: 9 different formats converted to DD/MM/YYYY; month-only dates set to the 1st and flagged.
  • Amounts: currency signs removed, comma and dot mix-ups fixed, stored as numbers.

About this service

Mailing houses, couriers and label printing expect each part of an address in its own column and in one format, while real lists hold the whole address in one cell, 'St.' and 'Street' mixed, postcodes missing a space or with lost leading zeros, and countries written in three languages. Send the address list as an Excel file and the format your carrier or mailing service needs, and we split addresses into street, building, flat, city, region, postcode and country, apply one style of abbreviations and casing, fix postcode formatting and mark addresses that look incomplete. We do not check addresses against postal databases, so the doubtful ones are flagged for you, not guessed.

What is included

  • What you getThe address list back as an Excel workbook with each address split into your columns, one style of abbreviations, postcodes stored as text so leading zeros stay, a status column for incomplete or doubtful addresses and a change log. Cells hold values only.

What we need from you

The address list as an Excel file with up to 12 columns, the countries in it, the column layout your carrier, mailing house or label template needs, your preferred abbreviation style and confirmation that you may process these addresses.

We will ask you:

  • Which carrier or mailing service is the list for?
  • Which columns should the address be split into?
  • Which countries are in the list?
  • How should countries be written?

Questions and answers

Will you check that the addresses exist?

No. We fix structure and format but do not look addresses up in postal or map databases. Incomplete ones are flagged so you can confirm them with the recipient.

Will you translate addresses into English?

We keep addresses in the language they are written in, because carriers need the local form. Country names can be written in English or as codes.

Why do my postcodes lose zeros in Excel?

Excel treats them as numbers. We store postcodes as text so they stay as written; keep that column as text when you save as CSV.

My list has more than 1,200 rows. What can I do?

Split it into parts of up to 1,200 rows and place one order per part with the same rules, so the results match.
