What was done
- Duplicates: 61 groups found (by email: 48, by name + phone: 13); merged into one row each, keeping the most complete details and the earliest sign-up date. Spending was not summed, because the two rows showed the same amount; 4 groups with different amounts are flagged for you.
- Names: split into first and last name; titles (Dr, Mrs, Mr) moved to their own column; capitalisation fixed, including O'Neil and McKenzie.
- Phones: 571 numbers brought to +44 format; 22 numbers with too few digits flagged.
- Emails: lower-cased and trimmed; 17 without a domain ending flagged as "Check email".
- Dates: 9 different formats converted to DD/MM/YYYY; month-only dates set to the 1st and flagged.
- Amounts: currency signs removed, comma and dot mix-ups fixed, stored as numbers.

About this service
Clubs, associations and charities keep member and donor lists in spreadsheets passed from one volunteer to the next, with couples on one row, renewal dates in five formats, lapsed members mixed with active ones and the same donor entered under a maiden and a married name. Send the list as an Excel file and your rules, and we split joint records if you want, bring dates, names, titles and amounts to one format, add a clear status column (active, lapsed, honorary) from your renewal rules and mark likely duplicates for your decision. You get a list your treasurer and your mailing volunteer can both trust.

How it works
- 1UploadYou send the list and your rules
- 2Clean-upWe go through every row
- 3DeliveryYou get the Excel file and change log
What we need from you
The member or donor list as an Excel file with up to 12 columns, your membership types and renewal rules (for example lapsed after 13 months without payment), how couples and households should be recorded, the salutation style and confirmation that you may process this personal data.
We will ask you:
- What membership types do you have?
- When does a member count as lapsed?
- Should couples stay on one row or be split?
- Which salutation style do you use in letters?

Questions and answers
Can you add Gift Aid or tax receipt status?
We can bring an existing column into one format, but we do not decide who qualifies for tax relief. Check eligibility with your treasurer or adviser.
Will you delete lapsed members?
No, we only mark them in the status column. Whether to keep or delete their data is your decision under your privacy policy.
My export is a CSV file. Can I send it?
Open it in Excel or Google Sheets and save it as an Excel file first; that also lets you check that special characters look right.
My list has more than 1,200 rows. What can I do?
Split it into parts of up to 1,200 rows and place one order per part with the same rules, so the results match.
