What was done
- Duplicates: 61 groups found (by email: 48, by name + phone: 13); merged into one row each, keeping the most complete details and the earliest sign-up date. Spending was not summed, because the two rows showed the same amount; 4 groups with different amounts are flagged for you.
- Names: split into first and last name; titles (Dr, Mrs, Mr) moved to their own column; capitalisation fixed, including O'Neil and McKenzie.
- Phones: 571 numbers brought to +44 format; 22 numbers with too few digits flagged.
- Emails: lower-cased and trimmed; 17 without a domain ending flagged as "Check email".
- Dates: 9 different formats converted to DD/MM/YYYY; month-only dates set to the 1st and flagged.
- Amounts: currency signs removed, comma and dot mix-ups fixed, stored as numbers.

About this service
CRM exports collect years of quick manual entry: company names written three ways, phone numbers in every format, job titles in free text, contacts linked to the wrong company and duplicates that the CRM's own merge tool did not catch. Send the export as an Excel file and tell us the CRM you will import into, and we standardise company names, phones with country codes, countries and job titles, merge duplicate contacts by your rule and keep each record's ID so the re-import updates instead of creating copies. Every merge and change is logged, so your team can see what happened to each record.
What is included
- What you getThe export back as an Excel workbook with the original record IDs kept, standardised fields, merged duplicates with the IDs that were merged, a change log and rows marked for your decision. Cells hold values only, ready to save as CSV for re-import.
- IDs keptSo re-import updates, not duplicates
- Company namesLtd, LLC and spellings brought in line
- Phones and countriesOne format with country codes
- Duplicate contactsMerged by your winner rule
- Change logEvery merge and edit with record ID
How it works
- 1UploadYou send the export and your rules
- 2Clean-upWe go through every row
- 3DeliveryYou get the Excel file and change log
What we need from you
The CRM export as an Excel file with up to 12 columns including the record ID, the CRM you use, which record wins in a duplicate (newest, most complete, a given owner), the phone and country formats you want and confirmation that you may process this personal data.
We will ask you:
- Which CRM will you import the cleaned file into?
- Which record should win when two contacts are duplicates?
- Which phone format do you want?
- Should job titles be grouped into standard levels?

Questions and answers
Will you import the file into my CRM?
No, we do not log in to your CRM. You run the import yourself, matching on the record ID column we keep.
Can you enrich contacts with missing data?
No. We clean what is in the export; we do not look up emails, phones or company data.
What about deals and activities linked to merged contacts?
We only see the export you send. The merge log lists which IDs were merged into which, so you can merge them in the CRM and keep their history.
My list has more than 1,200 rows. What can I do?
Split it into parts of up to 1,200 rows and place one order per part with the same rules, so the results match.
