What drives your profit

Sales grew steadily, but each dollar of sales keeps less profit. Three things explain most of it:

  1. Green coffee costs rose from 24% to 31% of revenue. Café prices were raised once, in 2024; online prices were not changed.
  2. Wholesale share grew from 18% to 33% of revenue at a gross margin of about 35%, compared with 68% in the café.
  3. Wages grew in line with sales, which is healthy; they are not the problem.

Warning signs

  • Inventory more than doubled ($27,000 to $64,000) while sales grew 28%. Cash is sitting in green coffee bags.
  • Cash from operations fell by 70% in two years, while net profit fell by only 27%. The gap is inventory and slower payments from wholesale clients (receivables up from 21 to 39 days).
  • Current ratio of 1.1 leaves very little room for a new loan repayment.

Questions to ask your accountant

  • Is the inventory valued at current or historical cost, and is any of it older than 12 months?
  • Are wholesale payment terms written into contracts, and are they enforced?
  • What monthly repayment can the business carry if operating cash flow stays at 2025 levels?

What this means for the second café

On these numbers, a loan now would rely on cash the business is not generating. Raising online and wholesale prices and cutting inventory back to around 40 days and collecting wholesale invoices on time could release roughly $35,000 in cash within a year, before taking on new debt.

This review is not an audit or financial advice; discuss it with your accountant before acting.

Questions and answers

Is this financial advice or an audit?

Neither. It is a plain-language review of your figures, not financial or investment advice and not an auditor's opinion. Check it with your accountant or adviser in your country.

Will you tell me whether to buy the business or take the loan?

No. We show strengths, warning signs and questions to ask; the decision is yours.

How can I check your numbers?

The Excel sheet shows the source figures next to each ratio. The cells hold values, not live formulas, so you can recheck any line yourself.

Do you need access to my accounting software?

No. Export the statements as PDF or Excel files, or take clear photos, and upload up to 5 files.

Can I ask for changes?

Yes, within the revisions of your package.
