Year 1 totals: revenue $212,550, operating profit $37,188, cash at year end $36,988.

What the numbers say

  1. Months 1–2 are the tight spot. Cash drops to about $2,900 in month 2. Keep at least $3,000 in reserve or delay one hire until month 3.
  2. Summer carries the year. Months 5–9 bring about two-thirds of annual profit, so plan marketing and staff holidays around them.
  3. Price matters more than volume. Raising the average check by $0.50 lifts year 1 profit by about $16,900; selling 10% more cups adds about $15,000.
  4. Payback. At the current pace, the $38,000 start-up spend is covered in roughly 13 months.

All formulas are live in the Excel file: change any yellow cell on the Assumptions sheet and every month updates.

About this service

We forecast a service business from its capacity: billable hours or retainers per person, utilization, hourly or project rates and how many clients you win and lose each month. Salaries, contractor costs, tools and your own pay are set against that, so you see whether the next hire pays off and how long a gap between projects you can survive.

What is included

  • What you getForecast tables for your practice: revenue by client type or service, billable capacity and utilization, team and contractor costs, profit, owner pay and cash flow, with assumptions listed. Tables come as text on the order page and as an Excel (.xlsx) file; this is a planning estimate, not financial, tax or investment advice.
  • Capacity and utilizationBillable hours each person can sell
  • Retainers vs projectsSteady and one-off income apart
  • Hiring checkWhen a new hire starts to pay off
  • Payment termsCash gaps from 30 or 60-day invoices
  • Owner payWhat you can take out safely

What we need from you

Your services and rates, retainers versus one-off projects, team and contractors with costs, billable hours, payment terms, tool and office costs, and how much you want to pay yourself.

We will ask you:

  • What services do you sell, and at what rates?
  • Who is on the team, and what does each cost?
  • How many clients do you win and lose in a typical month?
  • How quickly do clients pay invoices?

Questions and answers

Does it work for a solo freelancer?

Yes. We plan your billable hours, rates, taxes set aside at a rate you give us, and how much you can pay yourself each month.

Can you show the effect of raising rates?

Yes. Premium compares scenarios, so one can be a rate increase with some client loss.

Do you do my bookkeeping?

No. This is a forecast from your numbers, not bookkeeping or tax filing.
