SOP set: opening and closing procedures for a small café
SOP-02: Closing the café
| Purpose | Leave the café clean, safe and ready for the morning shift |
| Who | The closing barista; the shift lead signs off |
| When | Start at 5:30 pm, doors locked at 6:00 pm, finished by 6:45 pm |
| You need | Closing checklist sheet, till key, cleaning caddy, blue cloths |
Before you start
Warning: Never switch off the main power at the wall. The fridges and the alarm run on the same board.
Steps
- At 5:30 pm, turn the door sign to "Last orders". Customers already inside can stay until 6:00.
- Switch the coffee machine to rinse mode. Press and hold the cup button for 5 seconds. You should see: "RINSE" flashing on the display and hot water running through both group heads for about 2 minutes.
- Take out the portafilters and soak them in the black container with one cleaning tablet. Leave them for 20 minutes.
- Move cakes and sandwiches to the back fridge. Label anything opened today with today's date and "Use by tomorrow".
- Record the fridge temperatures on the log sheet. You should see: between 1 °C and 5 °C. If a fridge shows above 5 °C, go to step 12 first.
- At 6:00 pm, lock the front door and turn the sign to "Closed".
- Close the till. Press MENU, then "End of day", then "Z report". You should see: the report printing with today's total. Do not count the cash at the counter; take the drawer to the office.
(Steps 8–14: floors, bins, alarm and handover note.)
If something goes wrong
| Problem | What to do |
|---|---|
| Fridge above 5 °C | Move food to the second fridge, note the time and temperature, message the shift lead |
| Z report does not print | Replace the paper roll; if it still fails, write the total from the screen and photograph it |
| Alarm will not set | Check the back door is fully shut; the alarm will not arm with it open |

About this service
Most people use a program every day and still click through menus for things a shortcut does in a second. Name the program, its version and your operating system, and tell us what you do in it most, and we write a written cheat sheet for your work: the shortcuts that matter, grouped by task, the five or ten key workflows in a few steps each, and the settings worth changing once. It is short enough to print on one or two pages or pin next to your screen.
What is included
- What you getA written cheat sheet with shortcut tables by task, key workflows in short steps and recommended settings, laid out to print, on the order page and as a Word (.docx) or PDF file.
- Shortcuts by taskGrouped as you work, not alphabetically
- Key workflowsYour everyday tasks in a few steps
- Windows and MacBoth shown if your team uses both
- Settings to changeOne-time tweaks that save time
- Written guideNot a call or a live lesson
How it works
- 1BriefYou name the program and your tasks
- 2WritingWe pick shortcuts and steps for you
- 3Cheat sheetYou print it or pin it by your screen
What we need from you
The program and version, Windows or Mac, what you or your team do in it every day, things that take too long, and screenshots of your workspace if it is customised.
We will ask you:
- Which program and version is it?
- Do you use Windows, Mac or both?
- What do you do in it most often?
- Who is the cheat sheet for: you or a team?

Questions and answers
Do the shortcuts work in my version?
We write for the version you name. Programs change shortcuts from time to time, so check any that do not work and tell us within your revisions.
Can it include our custom shortcuts?
Yes, list them in the brief or attach a screenshot of your shortcut settings.
Is it a training course?
No, it is a compact written reference. For step-by-step lessons, choose a lessons offer for your program.
